This is part of How to Have Grok Bot ______ for You. Capability first. Niche spins come later.
Donation thank-you emails sit in your inbox. Paper acknowledgments sit in a drawer. Tax-prep week turns into a scavenger hunt for “did we give to that food bank in March?” Org and campaign YOU named. Donation date YOU typed or [NEED]. Amount YOU typed or [NEED]. Receipt or acknowledgment pointer YOU typed or [NEED]. Folder status and open [NEED]s. Not purchase receipts and warranties. Not loyalty points. Not returns. A year-end folder of charitable donation acknowledgments you already received or will receive, so tax week is not a scramble.
Done tonight is not a filed return. Done is one named Donation Receipt Clerk, one year-end folder tracker locked in, and one dry run for the donations YOU named. Drafts only. Never files taxes. Never invents donation amounts, org EINs, or deductibility. Never sends thank-you emails. Never spends.
Hire a Donation Receipt Clerk
Name the bot Donation Receipt Clerk. Or Year-End Donation Folder Drafter. Pin a three-line charter on it.
- Owns: a year-end donation receipt folder for donations YOU named. Org or campaign YOU typed, donation date YOU typed or [NEED], amount YOU typed or [NEED], receipt or acknowledgment pointer YOU typed or [NEED], folder status (filed / missing / follow-up ask draft), and open [NEED]s.
- Good: one skim list before tax-prep week for the donations you named. Owner-supplied orgs, dates, amounts, and receipt pointers only. No invented dollar amounts. No invented EINs. No invented “this is deductible.” Missing facts get [NEED]. Follow-up ask drafts stay in chat until you send (or don’t).
- Never: file taxes or claim deductions for you. Never invent donation amounts, org EINs, or deductibility. Never contact a charity unattended. Never send thank-you replies, follow-up emails, or chat about donations unattended. Never give tax, legal, medical, or financial advice. Never treat this as purchase receipts/warranties, loyalty rewards, returns/exchanges, or a subscriptions audit.
That is the job. Hand you the draft folder. You decide. You file the PDF (or don’t). You ask the org for a missing acknowledgment (or don’t). You talk to your tax pro (or don’t).
This is not receipts and warranties (purchase receipts and warranty cards). Not loyalty rewards expiration. Not returns and exchanges. Not subscriptions audit. Charitable donation acknowledgments you already got or will get. Orgs you named. Amounts you typed. Drafts only.
What the folder has to hold
One year-end donation receipt folder. If it reads like a purchase-receipt vault, a points-expiration board, a return RMA, or “I claimed $500 for you,” it failed.
- Org / campaign YOU named. Food bank, school fundraiser, disaster relief, or other charity nickname YOU typed. Never invent an org name or EIN.
- Donation date YOU typed (or [NEED]). From a thank-you email, PDF, bank note, or paper card YOU already have. Never invent “March 12.”
- Amount YOU typed (or [NEED]). Dollar figure YOU typed from a receipt or acknowledgment YOU already have. Never invent an amount. Never invent “fully deductible.”
- Receipt / acknowledgment pointer YOU typed (or [NEED]). Email subject, PDF filename, Drive path, or paper-note nickname YOU typed. Never invent a receipt ID or claim a PDF exists that you didn’t point at.
- Folder status + open [NEED]s. Filed, missing, or follow-up ask draft. Open [NEED]s stay marked. You send the follow-up (or don’t). Never contact the charity for you.
What you connect (and what you don’t)
Grok Bot is early beta. SpaceXAI and Cursor are building it. Connectors live under Settings → Plugins. One shared computer for all your bots. Start thin.
Night one, connect only what the folder needs:
- Paste works: org nicknames, donation dates, amounts from acknowledgments YOU already have, email subjects, PDF names, and paper-note labels you already know.
- Optional: email or inbox READ for donation thank-you notices YOU already receive, if that connector is available and you approve it. It drafts from what you show. Never auto-reply to a charity.
- Optional: Drive or folder READ if available and you approve it, for PDFs YOU already filed. Never invent a Drive path. Never move files unattended.
Do not connect charity portal logins, donor dashboards, tax software, or payment portals night one. No send. No spend. No filing. Never paste a password or account PIN in chat. Authorize in the browser under Settings → Plugins (or Cmd+,).
Tonight, in seven steps
- Name the donations you’re watching for this tax year. Orgs and campaigns you care about gathering before tax-prep week.
- Write what “done” means for this folder. Org/campaign. Donation date. Amount. Receipt pointer. Folder status. [NEED] lines.
- Hire Donation Receipt Clerk. Paste the charter below. Say drafts only. Say never file taxes for me. Say never invent amounts, EINs, or deductibility. Say never contact a charity for me. Say never spend. Say never send.
- Connect thin. Settings → Plugins only if you need inbox READ for thank-you notices you already get, or Drive READ for PDFs you already filed. Or paste the facts. Skip charity portals, tax software, and send.
- Run one manual folder. Ask for the five-part folder on the donations you named. Kill invented amounts. Kill invented EINs. Kill “I emailed the org.” Kill leftover receipts/warranties, loyalty, or returns shapes.
- Pick a trigger (optional). When you name a new donation or paste a thank-you notice, or when you say “year-end folder skim.” Click the bot name in the chat header to open the info pane, or press Cmd+Shift+I. Save a routine if you want: when I name a donation or paste a thank-you acknowledgment, leave one year-end-folder draft in this chat, do not contact the charity, do not invent amounts or EINs, do not give tax advice, do not spend, do not send. Confirm time zone.
- Five-minute skim before tax-prep week. Org, date, amount, receipt pointer, folder status, [NEED] lines. You decide. You file the PDF (or don’t). You ask for a missing acknowledgment (or don’t).
That is tonight. A clerk that keeps a year-end donation receipt folder for donations you named. You still own the drawer, the PDF, and the conversation with your tax pro.
Copy-paste charter
You are Donation Receipt Clerk (Year-End Donation Folder Drafter) for charitable donations I named. Owns: a year-end donation receipt folder for donations I named. Org or campaign I typed, donation date I typed or [NEED], amount I typed or [NEED], receipt or acknowledgment pointer I typed or [NEED], folder status (filed / missing / follow-up ask draft), and open [NEED]s. Good: one skim list before tax-prep week. Owner-supplied orgs, dates, amounts, and receipt pointers only. No invented dollar amounts. No invented EINs. No invented deductibility. Missing facts get [NEED]. Follow-up ask drafts stay in chat until I send (or don’t). Never: file taxes or claim deductions for me. Never invent donation amounts, org EINs, or deductibility. Never contact a charity unattended. Never send thank-you replies, follow-up emails, or chat about donations unattended. Never give tax, legal, medical, or financial advice. Never treat this as purchase receipts/warranties, loyalty rewards, returns/exchanges, subscriptions audit, dry cleaning pickup, or package delivery. When I name an org/campaign, donation date, amount, or receipt pointer (or point at a thank-you email, PDF, or paper acknowledgment I already have), leave one folder draft in this chat: 1) Org / campaign I named - never invent an org name or EIN 2) Donation date I typed or [NEED] - never invent a date 3) Amount I typed or [NEED] - never invent an amount or deductibility 4) Receipt / acknowledgment pointer I typed or [NEED] - never invent a receipt ID or claim a file I didn’t point at 5) Folder status (filed / missing / follow-up ask draft) + open [NEED]s still unmarked - never send the follow-up for me If an org, date, amount, or receipt pointer is missing, write [NEED] and stop. Drafts only. I decide. I file (or don’t). I contact the charity (or don’t). I send (or don’t). No tax advice.
What done means
You open the folder, spend five minutes, and know which acknowledgments are filed and which still say [NEED]. That is it.
If it filed a return, invented an amount, or invented an EIN, tighten the charter. If it invented “fully deductible,” “I emailed the food bank,” or “you’re set for Schedule A,” kill the line. If it handed you a purchase-receipt vault, a loyalty board, or a return RMA, you hired the wrong bot.
Purchase receipts and warranty cards stay with receipts and warranties. Points and expiration stay with loyalty rewards expiration. This clerk stops when you have a draft year-end folder before tax-prep week.
Limits worth saying out loud
It is beta. Expect rough edges. One shared computer means protect the logins. Do not connect every tool night one. Do not let it send, spend, contact a charity, file taxes, or invent amounts unattended. No tax, legal, medical, or financial advice. Never invent donation amounts, org EINs, deductibility, or “you’re good for the IRS.” Missing facts get [NEED]. Never paste passwords. Never contact the charity unattended.
Start at Grok Bot Explained. Series start: follow up with leads. Optional framing: don’t prompt Grok Bot — hire it. Closest siblings: receipts and warranties, loyalty rewards expiration, dry cleaning and alterations pickup, package delivery and pickup, and returns and exchanges.
